Administrator and Membership Cooridnator

The Association of Child Protection Professionals is a national charity working to support all those working in practice and research across the field of child protection and adult safeguarding.
We are seeking a highly organised and self-motivated Administrator and Membership Coordinator to join our team and coordinate our membership. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support. This position requires proficiency in various software applications, excellent clerical skills, and the ability to manage multiple tasks efficiently.
Responsibilities
· Use Microsoft Dynamics to accurately collate and analyse member data, including payment terms and renewal information.
· Use Microsoft Dynamics to produce reports and graphical information on membership trends for use by the Board and to inform future strategy.
· Work with our website development company on the identification of a suitable new membership CRM system and support the process of integration into the organisational website.
· Maintain a positive, professional and friendly image of Ao CPP by acting as the first line of contact for members.
· Process new members and membership cancellations and renewals in a timely manner.
· Send welcome emails and membership details to new members on a timely basis.
· Continuously look for improvements in member support and make recommendations to the Operations Manager in line with best practice.
· Work with the Events Officer and Digital Marketing Officer to send all marketing and promotional emails to contacts and members.
· Use the functionality of the website to monitor event bookings, ensuring payments are received and reconciled.
· Use the back-end functionality of the website to provide reports on membership activity and trends.
· Manage correspondence by answering emails from designated group mailboxes.
· Provide monthly financial information to the book-keeper.
· Review and upkeep the charity’s Sharepoint electronic filing system, ensuring ease of navigation for users and regular archiving of files.
· Use video-conferencing platforms such as Teams and Zoom to manage and communicate event information to members, making effective use of meeting scheduling, link-sharing and online meeting functionality such as breakout rooms, whiteboard use, and other collaborative tools.
· In conjunction with the Operations Manager draft meeting agendas and take meeting notes or minutes for circulation, ensuring their safe storage in accordance with statutory requirements for future reference.
· Manage the administration of all aspects of quarterly Board meetings, including attendance and minute taking at 1 meeting per quarter to be held online on Saturday mornings.
· Processing university and whole-organisation memberships for staff and students, tracking income for invoicing purposes.
· Regular electronic communication with our member audience to promote upcoming events.
· Administrate for the annual Anne Paterson Scholarship Awards, including the processing and dissemination of applications to the research panel.
· Maintain office efficiency by planning and reviewing administration systems with supervision of Operations Manager and maintaining and developing the ‘office procedures manual’ on Sharepoint.
· With the Operations Manager, provide cover for the Digital Marketing and Events Support Officer in times of absence.
· Model Ao CPP’s values and ways of working.
Skills
- Strong organisational skills with a keen attention to detail.
- Proficiency in Microsoft Office applications (Docs, Sheets, Calendar).
- Experience with clerical work and administrative support functions.
- Ability to computerise processes to improve efficiency within the office environment.
- Excellent typing skills with a focus on accuracy.
- Strong phone etiquette and communication skills, both verbal and written.
- Proficient in data entry with a commitment to maintaining confidentiality of sensitive information.
· Level 3 in Business Administration or equivalent experience.
Relevant experience
Essential
· Prior office management experience
· Proficiency with Microsoft Office
Desirable
· Understanding of the administration of the charity sector in the UK
· Membership or CRM management experience
· Experience of running online events
Job Type: Part-time
Pay: £10,816.00 per year
Expected hours: 16 per week
