As a Quality Administrator, you will work closely with internal stakeholders to ensure accurate documentation, adherence to processes, and continuous improvement of the company’s Quality Management System (QMS). You will also provide administrative and IT support while contributing to marketing, business development, and executive functions.
Key Responsibilities
Quality Management
- Understand project requirements to meet OCC and client expectations.
- Collaborate with departments to gather and analyse information, ensuring alignment with organizational goals.
- Maintain and upgrade the company’s QMS to ensure compliance and continuous improvement.
- Ensure documents are accurate, visually cohesive, and aligned with company standards.
- Conduct post-project reviews to identify areas for improvement.
- Provide administrative assistance to office and site teams, maintaining digital and physical filing systems to ISO standards.
- Manage company subscriptions, software licenses, and office equipment.
- Coordinate meetings, calendars, and bookings while preparing purchase requisitions and tracking financial records.
- Assist with ad hoc administrative tasks and projects as needed.
- Develop and maintain company databases with accuracy and confidentiality.
- Manage IT equipment and software licenses, ensuring proper allocation and timely renewals.
- Coordinate with external IT providers for troubleshooting and onboarding new employees.
- Maintain up-to-date inventory of IT equipment and software allocations.
- Identify opportunities for process improvements and support their implementation.
- Assist with marketing activities, including promotional materials, branding, and campaign execution across social media and other channels.
- Arrange travel and accommodation for directors.
- Coordinate events and meetings with professionalism and discretion.
- Handle confidential matters for directors as required.
- Experience in the construction industry is desirable but not essential.
- Familiarity with construction management systems (e.g., Procore) is an advantage.
- Excellent written and verbal communication skills with a focus on clear and engaging content.
- Strong project management and organizational skills, with the ability to meet deadlines.
- Attention to detail and a commitment to accuracy and consistency.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point).
- Knowledge of QMS processes and continuous improvement practices is a plus.
- Ability to work both independently and collaboratively.
- Strong research and problem-solving skills.
Pay: From €37,000.00 per year
Schedule:
- Monday to Friday
- Ireland (required)
