Guest Relations Representative, Olympic Oval- Faculty of Kinesiology

Description
The Olympic Oval in the Faculty of Kinesiology is currently seeking a Full-time Regular Guest Relations Representative .
The Olympic Oval is the premier Winter Olympic legacy facility from the 1988 Winter Olympic Games as part of the University of Calgary's Faculty of Kinesiology. The facility provides programs and services for a number of local, national, and international stakeholders and is home to high performance athletes, world-class high performance programs, and excellent research. The Oval provides a dynamic environment for Faculty of Kinesiology programs including Dino Athletics, Active Living, and various Faculty courses and research initiatives. The Olympic Oval brings international recognition to the University of Calgary through the hosting of major international world class events, the training of Olympic athletes, and ongoing development of high performance programs. Additionally, the Olympic Oval is recognized locally as a major part of the Calgary community providing public skating, events and bookable spaces for various public user groups and entities.
The Olympic Oval Client Relations Representative reports directly to the Guest Relations Team Lead. The position involves working in a busy, high traffic reception area with frequent interruptions. During peak competition season (October-March), volume of work increases substantially. This position ensures world class service is provided to athletes and Olympic Oval stakeholders. The incumbent must be able to work in an environment where there is ambiguity, continuous change and shifting priorities. This is a regular full time AUPE position with a variable work schedule, including evening and weekend hours, and some overtime.
Summary of Key Responsibilities (job functions include but are not limited to):
  • You will greet visitors to the Oval in a friendly, welcoming and pleasant manner
  • You will respond accurately and professionally to general telephone, email, and in person inquiries and requests
  • Responsible for distributing mail, incoming and outgoing courier packages
  • You will process and use the CSIS POS system for public skating admissions, athlete fees and other monetary transactions
  • You will need to be able to work under pressure and to prioritize your work
  • You will be responsible for gate access control
  • Your key accountabilities include maintaining strong lines of communication between Oval staff and user groups and providing exceptional customer service
  • Identify and communicate potential issues as they relate to the front desk and take proactive communication and problem solving measures
  • You will be held accountable for balancing cash outs and providing proper reporting for your shift
  • Maintain an organized and clean working environment
  • Assist the Guest Relations team as required
  • Provide assistance with Athlete Services as required
  • You will also take on other duties as assigned by Team Leaders
  • Complete all daily, weekly and monthly duties on the front office task list as required
Qualifications / Requirements:
  • Minimum Grade 12 Diploma required, post-secondary degree would be an asset
  • 1-2 years previous experience in an office environment
  • Advanced written & oral communication and customer service skills are essential
  • Excellent organizational and multi-tasking skills
  • Ability to work under pressure, multi-task and prioritize
  • Ability to work independently & within a team and prioritize
  • Ability to see the whole picture think ahead and be proactive in identifying and communicating potential problems/issues
  • Good working knowledge of Microsoft Office applications
  • Experience in cash handling and utilizing a POS (CSIS) system is an asset
