Your mission
We are seeking a resourceful and pro-active Office Manager, also known as our “Office Fixer”.You will play a critical role in ensuring our office runs smoothly by coordinating travel logistics and providing our team with the resources they need to succeed. Additionally, you will act as a direct liaison, managing the organization of the management’s agenda and other operations efficiently.

With a diverse team that includes both on-site and remote colleagues, this role is essential in supporting everyone across locations. You’ll play a crucial part in ensuring seamless access to resources, effective communication, and the support needed for all team members to thrive.
CORE ASSIGNMENTS
Office Administration
- Keep our office stocked and running smoothly by managing all the equipment, furniture and supplies - make sure there’s always plenty of Coke Zero in the fridge.
- Maintain an organized and functional office to support a productive work environment. For example, when going to fairs and events, you’ll help with the packing and unpacking of materials and equipment, making sure that everything is properly organized and ready for future use.
- Serve as the point of contact for internal and external stakeholders, including managing correspondence, phone calls, and inquiries.
- Book and coordinate travel for our team members, including flights, trains, hotels, airbnb, etc. and handling itinerary changes as needed.
- Coordinate all aspects of travel events, including bootcamps, team-building activities, and fairs—from arranging travel and accommodations to managing catering and on-site logistics.
- Occasionally travel to support fairs and events, ensuring everything runs seamlessly. Need to grab lunch for the sales team as they power through back-to-back meetings? You’re on it. Assisting with scanning booth visitors' badges or handing out drinks during happy hour? Absolutely—you’re there to help our team shine.
- Organize and manage the management’s agenda with efficiency.
- Coordinate and streamline daily operations, making sure they are handled accurately and on time.
- Jump in to help department heads and team members (Sales, HR, Admin, Marketing, …) with all kinds of admin tasks and pitch in when things get tricky.
Your profile
Experience:- Minimum of 2–5 years of experience in an office management, administrative, or operations role.
- Experience as an account executive in an advertising agency or as a production assistant in the television industry is definitely a plus
- Exceptional organizational with great time-management skills and a strong attention to detail.
- Strong interpersonal and communication skills, with a positive and can-do attitude.
- Ability to juggle multiple tasks, knowing how to prioritize, and work both independently and as part of a team.
- Problem-solver who is always one step ahead.
- Energetic and thrives on multitasking.
