Position Duties
The Assistant Director ensures effective administration support for the Center for Community, Service, and Justice (the Center) and its work to connect campus and community and promote social justice. Working closely with Center leadership, this role provides oversight for operations and communications, including evaluation, reporting (internally and externally) and budget management (including grants). This role represents the Center within the University by building effective relationships with operational partners on campus and help manage Center relationships with external advisors, potential donors, partnering institutions, and other stakeholders. Administration and Operation Management (30%):
Provides oversight in operations, including setting up and maintaining effective and efficient systems for volunteer onboarding processes and the Center's 50+ partnerships throughout Baltimore City and the University's strategically place-based York Road community development initiative.
Develop and implement creative strategies to increase Center's impact. Monitor the accuracy and effectiveness of programs and make recommendations for future Center needs. Ensure all internal and external deadlines, compliance and regulation are met and oversee the development and monitoring of memorandums of understanding (MOUs) with community partners. Supports data management to evaluate Center programs and projects. Analyze data and make recommendations for operational modifications and changes. Â
Support supervisor in creating and maintaining operating policies and procedures for the community-university center. Provide administrative support as needed.
Center Communication (20%):
Manage the internal and external communications for the Center. Set up and maintain effective and efficient systems to communicate and report out the impact of the Center's work in and engage volunteers and supporters in the work. Develop and execute plans for Center communications and marketing needs, including oversight of electronic and/or written marketing and communication materials to alert the campus and external community of initiatives and opportunities for involvement, special events support, updates of the website and redesign, etc. Manage student work in print and electronic communication for both internal and external audiences, including but not limited to e-newsletters, annual reports, student recruitment materials, websites, videos, photography and social media presence. Work with colleagues to develop marketing and communication strategies for the community-university center.
Actively participate in efforts to improve Center processes and serve as a consultant to staff on communication needs and issues. Regularly collaborate and keep clear lines of communication with key stakeholders.
Budget Management (25%):
Develop the annual operational budget with leadership. Create and administer budgets and timelines for ad hoc projects and standing community partnerships. Serve as a liaison for the York Corridor Business Improvement District Management Authority (York Corridor BID), including the dispersal of the York Corridor BID’s Loyola-held funds. Collaborate with Executive Director and University Controller regarding federally, state and local funded grants.
Grants (10%):
Oversee department grants, including preparation, writing and editing of grants. Manage the grant reports and external letters of support for the maintenance and expansion of campus and community engagement work.
Student Employment Management (15%):
Serves as a point of contact for the department for the student employment recruitment, hiring, and employment onboarding processes. Supports hiring process for graduate assistants and works with colleagues to ensure all undergraduate student hire paperwork is completed for the Center’s roster of interns and student fellows. May supervise student employees as well.
Collaborate with HR and Payroll departments to ensure up to date with student employment processes and policies.
Other Duties (5%):
Performs all other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.
Required qualifications:

Ability to support and advance the mission and values of a Catholic Jesuit education, as well as University goals for institutional diversity.

Bachelor's degree in a relevant field (ex. human resources, accounting, business administration, communications etc.)

At least 5 years of relevant experience in operations or financial management is required. Other relevant operational experience includes, but not limited to, working in settings such as higher education, non-profits, public affairs, business, and social justice work.

Advanced proficiency in MS Office, especially advanced Power Point and Excel.

Exceptional interpersonal skills and demonstrated use of tact and discretion in dealing with a wide range of constituents.

Demonstrated experience in budget management and oversight of financial operations.

Flexibility to work occasional weekends and evenings as required.
Preferred qualifications:

Experience with Workday is preferred.

Master's degree in a relevant field.
