Role specification:
Specializing in performing arts logistics, administration, and hospitality, the Company Manager is a critical role in the team and will be responsible for the following:
Team Building, Contracts, and Pre-Production
- Assisting in casting by coordinating schedules, liaising with talent and their agents, booking venues and readers, printing sides
- Drafting and negotiating contracts with artists, staff, venues, and suppliers, ensuring contractual obligations are fulfilled on both sides.
- Collaborating with Producers to collect and track production employment paperwork.
- Receiving and communicating production employee sick/conflict requests and leaves;
- Collecting and editing programme credits, bios, headshots, and information for production employees.
- Coordinating rehearsal and performance schedules, ensuring that all logistical aspects of productions run smoothly.
- Booking rehearsal and performance spaces, maintaining positive long-term relationships with host venues.
- Managing insurance policies to protect the company against various risks.
- Maintaining all budgets and records for travel and housing, including but not limited to rent, utilities, telephone, maintenance, supplies, and parking, and ensuring timely payments of invoices.
- Accurately tracking and reconciling departmental expenses and relevant production budget expenses.
- Generating, managing, and approving weekly production employee (actor and stage manager) payroll in compliance with Irish Revenue and Irish employment and labor law.
- Compiling and managing invite lists. Controlling available ticket allotments, managing requests from within the company and releasing seats for sale in a timely manner to maximize further revenue potential.
- Managing and updating detailed inventory lists pertaining to company equipment and resources.
- Developing welcome packs at the beginning of rehearsal processes outlining pertinent information such as building hours, rehearsal schedules, nearby medical resources, recommendations on local activities/dining, etc.
- Arranging all guest artist and touring company travel and accommodation logistics including: domestic and international transportation, per diem payments, and lodging for cast and crew.
- Creating, updating, and distributing itineraries and touring information to all traveling artists and crew in a timely fashion.
- Responding to medical emergencies, ensuring continued care and comfort for anyone in treatment/recovery throughout their production contracts.
- Organizing opening night events, which includes catering and beverage arrangements, event set up, curating invitations, managing RSVP lists, and arranging specialized gifts for the company.
- Managing arrangements for production company social events and gatherings, including but not limited to: First Rehearsal Meet and Greets, Company Dinners, Opening Night Receptions, and Closing Toasts.
- Assisting with Arts Council funding applications as required.
- Tracking income and expenditure, Maintaining accurate financial records and documentation throughout to assist with prompt Arts Council reporting and wrap up at the end of each production.
- Representing the Company in rehearsal, at the venue during production events, at industry events, and as directed by the Director.
- Serving as a key communication link between producers, performers, and crew across projects.
- Creative and swift problem-solving day-to-day without losing sight of producers’ strategic goals and priorities.
- Proactively addressing any potential conflicts or issues to better ensure a productive and stress- free environment for the group.
- Work between multiple spaces, often in a single day.
- Making site visits for visiting artist accommodation and rehearsal venue options to ensure their suitability for each production’s needs.
- Actively participate in workshops, trainings, and company meetings, including harassment prevention, bystander intervention, and other antiracism, equity, diversity, inclusion, and access initiatives.
- Expecting the unexpected- the above is an inexhaustive list, as no production or team will have the same needs.
- Minimum 5 years of experience working in the performing arts, preferably with national and international touring experience
- Experience across at least 3 different live art forms is essential (music, theatre, opera, and/or dance).
- Existing networks and positive working relationships in the Irish performing arts sector and abroad.
- Familiarity with arts funding and financial reporting processes including but not limited to awards available in Ireland through The Arts Council, Culture Ireland and Creative Europe.
- Exceptional interpersonal written and oral communication, organization, and budgeting skills.
- Collaborative and consistent work ethic with the ability to maintain and exude pleasant, calm, professional demeanor in high pressure situations.
- Willingness to respond effectively and appropriately to emergency needs.
- Interest in mentoring and training up-and-coming Company Managers and emerging Producers.
- Strong Excel skills.
- Knowledge of and respect for adhering to standard industry safety practices.
- Working knowledge of creative industry labor unions, particularly those in the US, UK and France, and Irish labor laws.
- Flexibility and willingness to travel regularly.
This is a full time 39-hour per week role Monday-Friday with the primary working base in Dublin. Regular travel and weekend work will also be required depending on production schedules. A minimum annual salary of €34,000 will be provided for this position. Holiday entitlement is 20 days plus public holidays.
