Summary of Position
Essential Functions
- Ensure reception is manned and people needing to access our site (visitors, suppliers, post etc) are greeted and helped as needed.
- Maintains office services by organizing office operations and procedures; correspondence; designing filing systems; reviewing and approving supply requisitions
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Have newcomer- packs ready, when new team members are joining
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identification cards.
- Coordinates meetings including agendas, minutes and prepares reports and presentations
- Orders office supplies and other office-related items
- Coordinates and books travel (flights, hotels, transfers, meals, etc)
- Creates purchase orders in systems and resolving issues
- Helps support visitors to the site
- Updates Share Point files and sites
- Provides office management support as needed
Requirements
- High School Diploma
- At least 2 years’ administrative experience including experience supporting a Department Head
- IT literate – advanced MS Office skills (Word, Excel and Power Point) and familiar with databases and IT systems
- Fluent English and Czech (written and spoken)
- Service oriented
- Excellent attention to detail, good communication and organizational skills
- Professional, credible individual with experience in a multi-national organization
- Results and deadline driven
- Proactive and able to demonstrate use of initiative
- Flexible and adaptable to changing priorities.
