Administrative Assistant / Receptionist

The Administrative Assistant / Receptionist is responsible for supporting business operations through administrative tasks, including answering phones, as well as providing courteous and professional direct interaction with prospective and current clients. This position is often the face of Real Property Management Platinum. This role interacts with every unit of the business and is the key to achieving effective communication across the organization.
ESSENTIAL RESPONSIBILITIES
- Handling general telephone and walk-in inquiries in a cheerful, professional manner
- Providing administrative support for the Leasing Agent and Property Manager
- Maintaining the prospective tenant database
- Assisting in placing advertisements
- Updating the company website with available rental properties
- Forwarding weekly Rental Marketing Reports to clients
- Establishing Landlord and Property Files for newly managed properties-preparing and forwarding letters to statutory bodies
- Managing office supplies inventory
- Assisting the Property Manager with applicant courtesy calls
- Entering management agreements/creating portfolios and properties
- Attending and participating in office meetings
- Attending and participating in training sessions as directed by the Manager
- Adhering to all procedures required in this role
- Providing feedback for and participating in the continuous improvement of procedures and processes
- Other duties as assigned
- Highly detail oriented and organized in work
- Strong analytical thinking and troubleshooting skills
- Excellent communication and interpersonal skills with a customer service focus
- Ability to act and operate independently with minimal daily direction from manager to accomplish objectives
- Proficiency with email, MAC and Microsoft Office applications
- Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem-solving, and results
REQUIREMENTS
- Experience in administrative support, office environment
- Basic telephone knowledge
- Intermediate skills in MAC and Microsoft Office
- Managing referrals across departments
- Knowledge of the Internet and email

- Administrative support, reporting, and data entry timelines met
- Established customer service standards maintained
- Advertising timelines met
- Tenancy database maintained in an accurate and timely manner
- ‘Renting’ section of the company website maintained and updated on a daily basis

- Report from the Property Manager
The Administrative Assistant is highly organized with strong time management skills and an understanding of prioritization. Naturally driven to provide excellent customer service and to instill trust, the Administrative Assistant is a natural communicator with good attention to detail, a sense of urgency, and a cheerful, professional demeanor.
