We are looking for an enthusiastic and detail-oriented Events & Admin Assistant to join our dynamic Events team at Freshdental Institute. If you're proactive, love ensuring every detail is in place, and have experience with administration and customer service, this role could be perfect for you!
As the Events & Admin Assistant, your primary focus will be to maintain smooth operations of our back office procedures and customer communications. You will ensure that everything from orders, and training compliance is handled smoothly, creating an efficient and premium experience for all delegates. You will also play a key role in our delegate journey both on the day of events but before and after they join us. In addition to administrative roles, you will be expected to work alongside our Hospitality team to greet delegates and assist with our on-site shop sales.
Key Responsibilities:
- Customer Communication: Maintain clear and concise communication with all customer queries both face-to-face and via email/telephone.
- Hospitality Management: Greet and assist delegates as they arrive, manage coffee breaks, and ensure the facility remains clean and organized throughout the day.
- Delegate Support: Cater to the needs of participants before, during, and after the event. This includes assisting with product sales during breaks and guiding delegates to partner restaurants for lunch. You will also manage lunch bookings and ensure any dietary restrictions or food allergies are accommodated.
- Stock & Inventory Control: Working alongside our Set Up team and your Line Manager, you will be involved in requesting orders and helping to maintain stock levels.
- Facility Management: Maintain the event and office areas to the highest standards, ensuring cleanliness and organization at all times. Liaise with the cleaning company to schedule services ahead of events.
- Collaboration & Reporting: Work closely with the Line Manager and other team members to ensure event operations run smoothly. Assist in the setup of training rooms in line with the event syllabus and provide operational support throughout the event.
- Supplier Coordination: Liaise with suppliers and partners to ensure timely and efficient deliveries and services for all events.
- Administrative Tasks: Ensure all documentation and reports are kept up to date, and that any stock or catering issues are flagged to the Line Manager for resolution.
- Exceptional Attention to Detail: Ensuring every aspect of the customer journey is executed to the highest standard.
- Proactive Attitude: Anticipating needs and solving problems before they arise.
- Experience in Inventory Management: Ideally with Shopify experience.
- Excellent Communication & Customer Service Skills: Both verbal and written.
- Ability to Multi-Task & Stay Organized: Managing multiple tasks simultaneously without sacrificing quality.
- Basic Tech Savviness: Comfortable working with Word, Excel, Outlook, Power Point, and databases. Experience with Shopify is a plus!
- Availability for Occasional Travel: Our events take place in various UK locations, so you’ll need to be flexible for travel.
- Physical Stamina: Comfortable with standing for extended periods, moving stock, and preparing event spaces.
