- Effective at working within a team and building strong relationships with colleagues and executives
- Skilled in MS Office applications
AND YOU WANT TO
- Manage an active and dynamic calendar of appointments and assist with arranging travel, including booking flights, hotel accommodations, car rentals, and reporting expenses
- Facilitate HR leadership sessions, in-house or off-site meetings, and events, ensuring clear meeting agendas, objectives, and materials are distributed ahead of time
- Attend meetings when required, take and distribute notes, and ensure accountable individuals follow up actions
- Support other executive assistants with Executive Management workloads and availability, acting as a “gatekeeper” and “gateway” to create win-win situations for the team
- Engage with senior stakeholders, work closely with the CEO’s office, and collaborate cross-functionally with departments such as the Business Trip Office, Secretary Team, and Legal
- Provide administrative support for the Chief People Officer (CPO), understanding and anticipating challenges facing leadership executives, and managing priorities effectively and proactively
- Serve as a backup to the CEO’s office during peak periods and vacation times
- Provide high-quality administrative, logistical, and organizational support to the executives to help them manage time and energy
- Ensure executives’ efficiency by securing their time for strategic thinking and things “only they can do”
- Serve as a bridge for smooth communication between executive and internal functions
