Administrative Assistant

As a Civil Engineer, you are responsible to provide essential support to ensure the smooth and efficient operation of the office. This role involves managing schedules, coordinating communication, organizing files, and performing a variety of clerical tasks to support daily administrative functions.
Responsibilities:
Office Support:
  • Answer and direct phone calls, take messages, and handle inquiries in a professional manner.
  • Greet visitors and clients, ensuring they are welcomed and directed appropriately.
Administrative Tasks:
  • Perform general office duties such as filing, data entry, and photocopying.
  • Prepare and format documents, reports, and presentations as needed.
Schedule Management:
  • Manage and coordinate appointments, meetings, and travel arrangements for staff or management.
  • Maintain and update calendars, ensuring all scheduled activities are accurately tracked.
Communication:
  • Draft, proofread, and send correspondence including emails, memos, and letters.
  • Maintain effective communication channels within the office and with external contacts.
Record Keeping:
  • Organize and maintain both physical and electronic filing systems, ensuring documents are easily accessible and up-to-date.
  • Handle sensitive information with confidentiality and discretion.
Meeting Coordination:
  • Arrange and set up meetings, including booking conference rooms, preparing agendas, and providing necessary materials.
  • Take and distribute meeting minutes, and follow up on action items.
Customer Service:
  • Provide exceptional customer service to clients and colleagues, addressing their needs and resolving issues promptly.
  • Assist with client or vendor interactions, ensuring a positive experience.
Office Management:
  • Monitor and replenish office supplies, ensuring that inventory levels are maintained.
  • Assist with the maintenance and operation of office equipment.
Support to Management:
  • Provide administrative support to managers and team members, including handling special projects and assignments as required.
  • Prepare reports, summaries, and other documentation as needed.

Requirements:
Education: High school diploma or equivalent; additional certification or coursework in office administration is advantageous. Fresh Graduates or any Business Courses is Preferred
Experience: Previous experience as an administrative assistant or in a similar role is preferred. Fresh Graduates are accepted.
Skills:
  • Proficiency in office software applications (e.g., Microsoft Office Suite: Word, Excel, Power Point, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • High level of attention to detail and accuracy.
  • Ability to handle confidential information with integrity.
Working Conditions:
  • Work is primarily conducted in an office environment.
  • May involve handling multiple tasks and working with different departments.
Job Types: Full-time, Permanent
Pay: Php15,000.00 - Php18,000.00 per month
