Administrative Assistant

Responsibilities:
Office Support:
- Answer and direct phone calls, take messages, and handle inquiries in a professional manner.
- Greet visitors and clients, ensuring they are welcomed and directed appropriately.
- Perform general office duties such as filing, data entry, and photocopying.
- Prepare and format documents, reports, and presentations as needed.
- Manage and coordinate appointments, meetings, and travel arrangements for staff or management.
- Maintain and update calendars, ensuring all scheduled activities are accurately tracked.
- Draft, proofread, and send correspondence including emails, memos, and letters.
- Maintain effective communication channels within the office and with external contacts.
- Organize and maintain both physical and electronic filing systems, ensuring documents are easily accessible and up-to-date.
- Handle sensitive information with confidentiality and discretion.
- Arrange and set up meetings, including booking conference rooms, preparing agendas, and providing necessary materials.
- Take and distribute meeting minutes, and follow up on action items.
- Provide exceptional customer service to clients and colleagues, addressing their needs and resolving issues promptly.
- Assist with client or vendor interactions, ensuring a positive experience.
- Monitor and replenish office supplies, ensuring that inventory levels are maintained.
- Assist with the maintenance and operation of office equipment.
- Provide administrative support to managers and team members, including handling special projects and assignments as required.
- Prepare reports, summaries, and other documentation as needed.
Requirements:
Education: High school diploma or equivalent; additional certification or coursework in office administration is advantageous. Fresh Graduates or any Business Courses is Preferred
Experience: Previous experience as an administrative assistant or in a similar role is preferred. Fresh Graduates are accepted.
Skills:
- Proficiency in office software applications (e.g., Microsoft Office Suite: Word, Excel, Power Point, Outlook).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of attention to detail and accuracy.
- Ability to handle confidential information with integrity.
- Work is primarily conducted in an office environment.
- May involve handling multiple tasks and working with different departments.
Pay: Php15,000.00 - Php18,000.00 per month
