Office Manager (Females Only)

The Office Manager provides administrative, financial and consular support as part of the Client team and ensures that the office is run efficiently and effectively, in line with Client policies and procedures. The successful candidate is a person with initiative and dynamism, a good team player and can lead from the front.
The precise range of duties will vary over time according to the needs of the Client, but will
include the following. The normal working hours for the Office Manager role will be 9am to 5pm with lunch and other breaks (including Friday) to be agreed.:
· Providing high quality administrative support as necessary, developing up to date records, processing requests and maintaining real-time information flows;
· Budget planning and analysis together with the preparation of monthly Client accounts in line with the financial management systems used by Client's Department of Foreign Affairs (DFA);
· Ensure day-to-day administration management of a busy Mission and the Official Accommodation in accordance with DFA’s policies;
· Robust management of the Mission’s administrative and support activities relating to procurement, office, security and contract management ensuring compliance with DFA’s policies and procedures;
· Manage logistical arrangements for ministerial-level and senior official-level visits;
· Manage strategic relationships with external stakeholders including government ministries, departments and agencies and oversee efficient and effective internal communications;
· Support the processes of establising the new Client;
  • Coordination of the driver’s roster;
· Developing contacts and building good relationships with external stakeholders on behalf of the Client;
· Respond to public queries received by the Client by telephone and email and provide excellent customer service at the Client’s public office;
· Provide consular assistance to Irish citizens and their families;
· Perform occasional translation and interpretation work;
· The Officer may be required to carry out other functions subject to the business needs of the Mission, including periodic out of hours’ work.
Essential requirements candidates must be able to demonstrate:
  • Candidates must have a degree, preferably in disciplines such as:
ü Human Resource Management
ü Business Administration Management
ü Or a related field
  • Candidates must have at least three years’ experience at a senior middle-management level with full responsibilities for corporate services and/or organisational operations;
· Candidates must show extensive experience in the planning and implementation of administration and management policies, as well as the ability to analyse, interpret and explain the legal framework regulating employment, contracts, and consular affairs in Pakistan;
· The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organizational skills, attention to detail, ability to work under pressure and to manage multiple tasks;
· The candidate should provide examples of being solution-oriented, and committed to delivering results, including by adapting approach if necessary;
· The candidate must demonstrate using work based examples of providing excellent interpersonal skills, being persuasive, working in a team but also dealing effectively with people in external organisations;
· Proven ability to collate and distil large amounts of information, summarising findings to be used for management decisions and planning;
· The candidate must demonstrate using examples, their working knowledge of Microsoft Office Suite (Outlook, Word, Excel);
· The candidate must be proficient in English and Urdu;
· All applicants must have a permanent legal right to reside and work in Pakistan.
Additional Desirable Skills and Experience:
· Previous experience working with an international organisation;
· A good understanding of the role of the Department of Foreign Affairs and the Client.
