Job Summary:*
The Service Supervisor (Service Advisor) is responsible for overseeing the maintenance and repair operations of the rental fleet, ensuring that all vehicles are serviced in a timely and efficient manner. This role involves coordinating with the service team, monitoring vehicle performance, and communicating with both the internal team and external service providers.
Key Responsibilities:
1. Fleet Maintenance Coordination:
- Schedule and supervise routine maintenance and repair work for the rental fleet.
- Track the status of vehicles under maintenance and provide updates to the operations team regarding vehicle availability.
- Ensure all vehicles meet the company’s safety and quality standards before being returned to the fleet.
2. Customer Service:
- Act as the primary point of contact for customers and internal teams regarding vehicle service issues.
- Communicate with customers about vehicle service needs, repair timelines, and any associated costs.
- Provide professional advice on vehicle issues and recommend solutions for any concerns raised by customers or staff.
3. Supervision of Service Team:
- Lead and supervise the service department team, including mechanics, technicians, and support staff.
- Ensure proper delegation of tasks and monitor the team’s performance to meet deadlines and service quality standards.
- Conduct regular performance reviews and provide training and guidance to the service team to improve efficiency and skill levels.
4. Vendor and Supplier Management:
- Liaise with external service providers, garages, and suppliers to ensure timely repair and maintenance of vehicles.
- Negotiate service contracts and manage relationships with external vendors.
- Monitor the quality of work performed by external garages and report any issues to management.
5. Reporting and Documentation:
- Maintain accurate service records for each vehicle, including details of maintenance work performed, costs, and service intervals.
- Provide regular reports to management on the condition of the fleet, ongoing repairs, and any potential issues that may affect vehicle availability.
- Ensure all service work is documented and aligned with the company’s internal policies and procedures.
6. Vehicle Inspections and Quality Control:
- Conduct regular inspections of vehicles to identify any issues that require attention.
- Ensure that all vehicles are thoroughly checked before they are rented out, including safety checks, mechanical checks, and cleanliness.
- Implement quality control processes to minimize vehicle downtime and maximize fleet efficiency.
7. Inventory Management:
- Manage the inventory of spare parts and service equipment, ensuring that all necessary supplies are available for routine maintenance.
- Coordinate with the procurement department to order parts and equipment as needed.
8. Compliance and Safety:
- Ensure all maintenance and repairs comply with local regulations and the company’s safety standards.
- Monitor and enforce health and safety regulations within the service department, ensuring a safe working environment for the team.
Qualifications:
- Diploma or degree in automotive engineering, mechanical engineering, or a related field.
- Previous experience in a supervisory role within the automotive or car rental industry.
- Strong knowledge of vehicle maintenance, repair processes, and fleet management.
- Excellent communication and customer service skills.
- Ability to manage a team and work in a fast-paced environment.
- Proficiency in using fleet management or service management software.
