HR Administrator
40 hours/week
Waterloo Office
The Human Resources Administrator is responsible for carefully and accurately processing employee information into the Human Resources Information System to ensure employees are provided proper remuneration in adherence with government legislation and Karis Disability Services policy. The Human Resources Administrator provides support and assistance to Managers and the Human Resources Department in reporting and managing employee documentation and changes.
Responsibilities:
- Receive, assess, and set up new hire packages ensuring all required documents are complete, signed and filled out properly, including Contract, Appendices, Vulnerable Sector Police Check, etc.
- Accurately enter employee information into the Human Resources Information System regarding employee type classification, category, benefit threshold, rate of pay, etc.
- Follow up with appropriate managers if incorrect or missing information; including, initial medical, work permits, job descriptions, resignation confirmation letters, etc.
- Enter the information and make changes in the Human Resources Information System for changes to contract hours, starting or ending leaves of absence, termination, transfers, and adding new contracts, in preparation for payroll processing.
- Ensure employment contracts are in compliance with the policies of the Employment Standards Act.
- Respond to inquiries from managers regarding contracts, new hire documentation, and entitlements.
- Create and distribute monthly reports regarding HR data to ensure the Developmental Services Act requirements are in compliance, including Canadian Work Permit report, step increase notices, outstanding documentation, demographic change info, etc.
- Manage benefit entitlements based on the employee’s contract, ensuring benefit changes occur in the Human Resources Information System and are communicated to the Abilities Specialist through established tracking systems.
- Management of Leaves of Absence records in the Human Resources Information System, communicating with the Abilities Specialist regarding Medical Leaves and Injury at Work Leaves.
- Review and confirm termination contract processing is complete.
- Ensure current, accurate information is entered into the database.
- Enter data and calculate special adjustments for Pay Equity, Step Increases, Bonuses, etc.
- Provide support and problem solve with the Payroll & HR Systems Manager, Payroll Team Leader, HRIS Team Leader, Human Resources Business Partners, Abilities Specialist, and other members of the department to make recommendations to improve existing systems.
Requirements:
- 1 year of previous administration work experience
- Bachelor’s Degree, Diploma or Certificate in Human Resources
- Problem solving skills
- Strong communication skills
- Computer skills
