About the Job:
The Project Coordinator will play a key role in supporting the Director of Communications and Development in building and executing a comprehensive institutional fundraising program. This program will align with HOL’s strategic priorities and aims to increase donor engagement and support over the coming years. The Project Coordinator will be responsible for researching potential funding opportunities, tracking donor outreach, compiling and editing proposals, preparing reports, and maintaining accurate donor database records. The ideal candidate is deadline-driven, highly organized, and passionate about making an impact on children and families in need.
This position is fully remote and can be based anywhere in the United States.
Essential Functions:
Institutional Development Support (40%)
  • Conduct prospect research and track the philanthropic landscape to identify potential donors and funding opportunities aligned with HOL’s priorities.
  • Collaborate with the Director of Communications and Development on key departmental initiatives, including the creation of standard operating procedures, process improvements, and training materials.
  • Draft and refine donor communications, proposals, and reports, ensuring alignment with HOL's mission and brand voice.
  • Coordinate with the Finance team to monitor grant expenditures and resolve any discrepancies or issues related to reporting or renewal projections.
  • Help develop and promote strategic communications to raise visibility and support for HOL programs (e.g., newsletters, blog posts, social media updates, articles).
Proposal Coordination (40%)
  • Maintain and update HOL’s institutional language library for use in grant proposals and reports.
  • Prepare proposal attachments and collaborate with Guatemala-based staff to gather necessary materials for funding submissions.
  • Issue reporting prompts to staff, ensure timely and accurate grant reports, and review them for consistency with HOL’s language, style, and donor expectations.
Project Administration (20%)
  • Ensure the timely and high-quality submission of grant reports and other donor-required documentation.
  • Manage project applications and reporting materials in partner portals as needed.
  • Administer internal and external communications related to grant announcements, donor acknowledgments, and project updates.
  • Use Raiser’s Edge NXT and other tracking tools to monitor project performance and report progress to the Director of Communications and Development.
  • Maintain up-to-date project files for staff accessibility.
Qualifications and Requirements:
  • Bachelor's degree required; fluency in English required; Spanish fluency preferred.
  • At least 3 years of experience in donor engagement, proposal coordination, project management, and CRM database management (e.g., Salesforce).
  • Proficiency in Google Workspace, Microsoft Office, and virtual platforms (Zoom, Whats App, Basecamp, Blackbaud a plus).
  • Proven experience in project development and proposal writing for a range of donors.
  • Strong communication, organizational, time-management, and analytical skills.
  • Ability to mentor and build capacity within a team.
  • Excellent organizational skills with the ability to manage multiple projects and deadlines.
  • Ability to work effectively with diverse teams, backgrounds, and communication styles.
  • Self-motivated and able to work in a fast-paced, dynamic, remote environment.
  • Experience with remote collaboration tools and teams is a plus.

Pay: $55,000.00 - $60,000.00 per year
