Who We Are Looking For
The Office Operations Coordinator plays a vital role in maintaining a positive workplace environment at Clutch, supporting day-to-day office and employee program operations. Reporting to the Senior Manager, Talent, this role ensures a smooth execution of office functions from facilities management to fostering a welcoming and productive space for team members. This role is on-site and plays a hands-on role in shaping a welcoming, productive, and engaging workplace that reflects our values and fosters connection.
Responsibilities
Office & Administrative Operations
  • Manage the overall organization of the office, maintaining kitchen supplies, and ensuring general office tidiness.
  • Maintain office equipment, troubleshoot technical issues (e.g., printers), and ensure all equipment and amenities are functioning optimally.
  • Execute office layout and design changes as needed, ensuring a comfortable and efficient workspace.
  • Adhere to office safety and security policies and procedures, ensuring a safe and compliant workspace for all team members and visitors.
  • Monitor and adhere to health and safety procedures.
Employee Experience & Engagement
  • Welcome and greet team and visitors into the office from the main reception area.
  • Execute dynamic office projects and events that bring Clutch culture to life, ensuring each initiative is delivered on time, within budget, and leaves a lasting positive impact on our team.
  • Act as the point of contact for all office-related inquiries, addressing issues proactively to create a positive experience for team members and visitors.
  • Organize and coordinate team events such as monthly birthday celebrations, team lunches, and wellness initiatives.
  • Source and provide community resources to support company events and culture committee initiatives for team members.
  • Ensure a smooth onboarding process for new hires by providing office tours and setting up their workspace.
  • Coordinate volunteer events, extracurricular book clubs, lunch & learns, and other culture-building activities.
  • Create and update office-related guides.
  • Administer service recognition programs and awards.
Facilities Partner Management
  • Oversee cleaning schedules and liaise with building housekeeping staff to ensure office cleanliness.
  • Maintain kitchen supplies (e.g., coffee, snacks, drinks) with vendors and ensure the timely delivery and stocking of items.
  • Manage package deliveries and distribution to team members.
  • Ensure the smooth operation of office amenities and coordinate any necessary repairs or maintenance with building management.
Qualifications
  • Minimum 2 years of office or program coordination experience, preferably within a small to mid-sized company.
  • Strong knowledge of office management principles and practices, with the ability to be proactive and handle multiple responsibilities in a fast-paced environment.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks effectively and resolve issues in a timely manner.
  • Strong verbal and written communication skills, with the ability to interact with diverse teams and external vendors.
  • Empathetic and welcoming personality with a commitment to fostering a positive workplace environment.
  • Proficiency in Google Suite, Microsoft Suite, Slack, and other related software.
  • Experience executing office policies and procedures in alignment with organizational objectives.
  • Ability to work in-office 5 days a week during business hours
  • Ability to lift and carry up to 15 pounds, as needed, to assist with catering, stocking supplies, office setups, events, and general workspace organization.

In addition to base pay, employees may be eligible to participate in Clutch's annual performance bonus program and any applicable incentives, which will be communicated during the hiring process.
Salary at Clutch is determined based on factors such as relevant qualifications, experience, and market. For this position, we expect a base salary range between $50,000-$70,000.
