The team creates a fun, warm and friendly shopping experience throughout the store by sharing their product knowledge and enthusiasm with our customers; helping to answer questions, offering suggestions and walking our customers to the products they are searching for. Every one of our team members ensures our customers know that they are always welcomed and cared for here at Little Farms .


The Admin Executive oversees and coordinates factory deliveries to our outlets and wholesale clients and general administration duties.


This role includes:


Logistics

• Concise knowledge of factory and transportation operations
• Delivery of goods on a timely manner
• Incident Reports (vehicle or product loss/damage)
• Working closely with the drivers and outlet managers to maximize budget by ensuring optimal productivity
• Establish strong and positive communication for all employees
• Communicate clearly and effectively to clients

Administration

• Purchasing and invoicing using the accounting system
• To implement and organize equipment maintenance logs
• Provide a streamlined logistics system for product delivery, crate inventory and driver scheduling, returns and issues
• Assist in packing and organization of deliveries when needed
• Various odd jobs to support the various teams
• Research and sourcing
• Support in event organization
• Data entry

Operations and Procedures

• Develop and execute strategies for an efficient logistics workflow and inventory management systems (crate and logistics equipment delivery)
• Work with the wholesale team to optimize and coordinate full deliveries cycles, planning each route based on road and traffic conditions
• Coordinate systems for both wholesale and retail customers
• Ensure drivers/external companies comply within AVA licensing (adhering to the Singapore food agencies requirements under Singapore Food Agency License (Sale of Food Act (SOFA) and Environmental Public Health Act (EPHA))
• Ensure all practices are HACCP compliant

Sales

• Work directly with high-profile wholesale customers to grow both revenue and the brand of Starter Lab

Team Culture

• Act as the central contact for clear and excellent communication between departments
• Rally and create ideas, activities, collaborations, events for team bonding working within budget

Systems

• Assess and introduce improvements to existing systems and workflow
• Make suggestions, research and implement new, more efficient systems

Other

• Cross-check wholesale orders and quality control of all products
• Develop procedures for customer complaints, lost items and damages to products
