Real Estate Executive Assistant

POSITION: We are seeking a highly organized and proactive Executive Assistant to support our client's work and family life. The ideal candidate will have a background in real estate-related tasks, strong project management skills, and the ability to efficiently manage tasks and communications. This role requires a commitment to long-term employment and a dedication to contributing to the sustained success of our organization.
WORKING HOURS/SETUP : Monday to Friday, 9:00 AM – 6:00 PM Central European Time (CET)
The role will commence with a 1-month trial phase, during which the contractor will work part-time (half-day) schedules. Upon successfully completing the trial period and demonstrating a strong alignment with the client’s needs, there is a potential opportunity for the role to transition to a full-time position.
SALARY RANGE: €5-7/hour (Depending on candidate’s skill and experience; bi-weekly payments)
OUR IDEAL CANDIDATE:
- MUST have proven experience as an executive assistant or similar roles.
- Background in real estate-related tasks is an advantage, and strong project management skills is a must.
- MUST be committed to long-term employment and dedicated to contributing to the sustained success of the organization.
- Takes initiative to identify tasks that need to be done and execute them without direct orders.
- Is able to anticipate the needs of the executive and provide proactive support to ensure seamless daily operations.
- Is able to independently manage projects from inception to completion, ensuring deadlines are met and objectives are achieved.
- Is an excellent communicator with great command of the English language. Written and oral.
Primary Tasks:
- General organization of day-to-day tasks, including follow-ups, achieving inbox zero, managing transactions, listings, and processes with buyers.
- Handling family-related tasks as needed, focusing on organization and tasks that can be managed through email and phone.
- Documenting each step and creating processes for future use.
- Using various communication tools effectively. Handling professional phone calls.
- Creating and managing tasks efficiently.
- Proficiency in email and project management tasks from day one.
- Flexible schedule to accommodate work and family life coordination.
- Available for coordination via phone or video calls during the day, with the flexibility to work at their own time in their own country.
- Using Asana and Property Base (a Salesforce suite for real estate).
- Basic skills in email and phone calls, with the rest to be learned step by step.
- The individual contractor must possess and have readily available all necessary equipment required to accomplish the tasks and responsibilities effectively. (i.e. computer, stable internet connectivity, and any specialized tools required to perform the task)
- Proven experience as an executive assistant, administrative support, or in any related field.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
- Strong initiative and the ability to start and complete tasks independently.
- Excellent oral and written English communication skills.
- Proficiency in calendar management, email management, and research.
- Familiarity with CRM software and experience with data entry and maintenance.
- Ability to handle travel arrangements and scheduling for multiple team members.
- Comfortable managing virtual meetings and providing technical support for video conferencing platforms.
Pay: Php40,000.00 - Php60,000.00 per month
