The purchasing officer is responsible for managing the purchasing activities of food and beverage supplies, raw materials, equipment and other goods required for the company's operations. This role involves maintaining strong relationships with suppliers, ensuring that purchases meet quality standards, and monitoring inventory levels to avoid shortages or excess stocks. The ideal candidate should possess excellent negotiation skills and a deep understanding of supplier networks in the F&B industry.
Key Responsibilities:
1. Supplier Management

• Establish and maintain relationships with reliable suppliers, including local and international F&B vendors.
• Regularly communicate with suppliers to ensure the availability of products and negotiate favorable terms (pricing, delivery, and payment).
• Source new suppliers and evaluate their suitability for the company's needs.
• Monitor supplier performance and resolve any issues related to delivery or product quality.
• Has exisiting supplier network in the industry (a plus)

2. Purchasing and Inventory Control

• Process purchase orders for food, beverages, kitchen equipment, and other supplies as per company requirements.
• Maintain accurate records of purchase orders, delivery schedules, and stock levels.
• Monitor inventory to avoid overstocking or stockouts, adjusting orders as needed based on sales forecasts and usage trends.

3. Negotiation & Cost Control

• Negotiate the best prices and terms with suppliers, considering factors such as product quality, cost, and delivery schedules.
• Review purchase orders and contracts to ensure compliance with company policies and budget guidelines.
• Identify cost-saving opportunities while maintaining product quality and operational efficiency.

4. Quality Assurance

• Ensure that all purchased goods meet the company’s quality standards and regulatory requirements (e.g., food safety standards in the Philippines).
• Work with suppliers to resolve any quality issues and ensure timely replacements or adjustments.

5. Procurement Reporting

• Maintain up-to-date records of all purchasing activities, inventory levels, and supplier interactions.
• Generate regular reports on purchasing trends, stock levels, and supplier performance for management review.

6. Cross-Department Collaboration

• Work closely with the kitchen, operations, warehouse and finance teams to forecast demand and ensure the smooth flow of goods.
• Provide purchasing support for marketing promotions, events, or new product launches as needed.

7. Compliance & Documentation

• Ensure compliance with all relevant laws, regulations, and company policies regarding procurement, including local food safety and environmental standards.
• Keep all purchase records, invoices, and contracts organized for auditing and financial reporting purposes.

Qualifications:

• Bachelor’s degree in Business, Supply Chain Management, Hospitality Management, or any related field.
• At least 2–3 years of experience in purchasing or procurement in the Food & Beverage industry. Experience with supplier negotiations and sourcing is highly preferred.
• Computer Literate (up-to-date tech skills)

Skills:

• Strong communication and negotiation skills.
• In-depth knowledge of F&B suppliers and trends in the Philippine market.
• Ability to manage multiple tasks and prioritize effectively.
• Familiarity with inventory management software or ERP systems
• Attention to detail and strong organizational skills.

Knowledge:

• Understanding of food safety standards (e.g., FDA, DOH regulations) and best practices in the F&B industry.
• Knowledge of supply chain processes and inventory control methods.

Full-time position.
