Hiring for a reputed firm based in Oman for the role of Admin Executive and roles and responsibilities are
Admin Executive plays a crucial role in ensuring smooth day-to-day operations of an organization. an Admin Executive is responsible for managing administrative functions, coordinating tasks, supporting the leadership team, and ensuring that the office environment runs efficiently.
The roles and responsibilities for an Admin Executive:
1. Office Management
  • Maintain Office Organization: Ensure the office is well-organized, clean, and equipped with necessary supplies.
  • Manage Office Supplies: Order, track, and maintain inventory of office supplies, such as stationery, equipment, and refreshments.
  • Facilities Management: Coordinate maintenance and repairs of office facilities and equipment.
2. Executive Support
  • Calendar and Schedule Management: Assist executives by managing calendars, scheduling meetings, and ensuring that time is used efficiently.
  • Meeting Coordination: Organize and schedule meetings, prepare agendas, and take meeting minutes.
  • Travel Arrangements: Book flights, accommodations, and transportation for executives or other staff members.
  • Document Preparation: Prepare reports, presentations, memos, and other documents for executives and management teams.
3. Communication
  • Correspondence Handling: Manage phone calls, emails, and other forms of communication on behalf of executives.
  • Liaison Between Departments: Act as a point of contact between different teams, departments, and sometimes external stakeholders.
  • Visitor Management: Greet visitors, ensure security protocols are followed, and make visitors feel welcome.
4. HR & Employee Support
  • Onboarding Support: Assist with the onboarding process of new employees, including documentation and orientation.
  • Employee Records: Maintain and update employee records, including attendance, leave management, and personal information.
  • Leave and Attendance Management: Track employee attendance, sick leave, and vacation requests.
5. Financial and Budget Support
  • Expense Management: Manage office-related expenses, track receipts, and prepare expense reports.
  • Budget Assistance: Support budget planning and monitor expenditures to ensure adherence to budget limits.
  • Invoice Processing: Assist in processing invoices for office supplies, services, and vendor payments.
6. Event Coordination
  • Organize Corporate Events: Plan, coordinate, and execute events such as conferences, seminars, team-building activities, and company meetings.
  • Employee Welfare: Assist in organizing employee engagement activities, celebrations, and social events.
7. Data Management and Filing
  • Document Management: Maintain a filing system for important documents (both physical and digital), ensuring they are easily accessible.
  • Database Management: Update and maintain company databases (such as contact lists, client information, etc.).
8. General Administration
  • Handling Requests: Respond to internal and external requests for information, materials, or assistance.
  • Compliance: Ensure office operations comply with company policies, industry regulations, and legal requirements.
  • Record Keeping: Maintain accurate and up-to-date records, both physical and digital, in compliance with organizational policies.
9. Project Assistance
  • Assist in Project Coordination: Provide administrative support for specific projects, including task management, documentation, and tracking progress.
  • Project Timelines: Help monitor deadlines and ensure that project deliverables are met.
10. Technology and System Support
  • Software Management: Utilize and maintain office software such as Microsoft Office, Google Workspace, or project management tools.
  • Basic IT Support: Assist with troubleshooting basic tech issues or liaise with IT teams for problem resolution.
  • System Updates: Ensure that the necessary office systems and software are up to date and functioning smoothly.
