Job Position: Personal Assistant

Main Functions
- Act as the first point of contact to the Managing Director and deal with correspondence and phone calls.
- Responsible for event/meeting planning and coordination. Organize meeting logistics.
- Coordinate video and conference calls/bridges.
- Book and arrange travel, transport, and accommodation for the MD.
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the MD’s behalf.
- Manage databases and filing systems for the MD.
- Implement and maintain procedures/administrative systems for the MD.
- Liaise with staff and clients on behalf of the MD.
- Conduct research on behalf of the MD.
- Manage MD’s diary, update her social media pages, and ensure her attendance at all required engagements.
- Organise events and conferences for the MD.
- Remind the MD of important tasks and deadlines.
- Organise the MD’s personal commitments, including travel or childcare.
- Prepare expense reports for the MD.
- Work with direct reports to resolve any issues arising with expense reports and time sheets.
- Assist in managing Share Point by uploading documents.
- Provide clear communication and maintain a high level of confidentiality, credibility, trust, and support between the office of the MD and staff.
- Be always ready to travel out of state or country.
- Perform all other administrative tasks as requested by the MD.
