Service: Patient Administration Service - Booking Centre
Contract: Permanent, Full-Time (1.0 FTE / 40 hrs per week)
Salary: Band 6 $77,452 to $88,168 dependent on experience
Kōrero mō te tūranga - About the role
The Outpatient Administration Team covers a wide range of key tasks ranging from managing all processes relating to registration, referral lists, creating templates and scheduling of first specialist assessment including initial patient contact. Providing a central patient enquiry service where patients can reschedule or cancel their appointments and seek general information about their visit. Providing an outbound call reminding service to patients in the evenings as part of initiatives. Providing front line customer service at the main atrium reception, providing quality, and customer focussed reception service to patients attending clinics, patient admissions or making any type of enquiry.
The purpose of this role is to:
  • Provide a seamless patient focussed registration and booking service to patients, general practitioners and outpatients departments.
  • Support positive changes to the way we coordinate care and provide support to our services and for our patients
  • Maintain quality service by establishing and enforcing organisational standards
  • Mentor coach lead and motivate team members in making consistent progress within their performance
  • Facilitate communication, organise tasks and ensure a smooth collaboration among the team members.
  • Be the central point of contact, resolving conflicts, setting goals, and keeping everyone aligned with the overall vision and objectives of the Booking Centre team.
  • Manage deadlines and have the ability to promote collaboration and motivate the team to accomplish the goals.
  • Support the Team Leader to design new processes and work with services on quality improvement initiatives across the District Capital, Coast and Hutt Valley.

  • Experience in a Leadership role is essential
  • Effective and empathic communicator
  • Strong planning, organisational and prioritisation skills
  • Excellent coordination skills, and provide great customer service to internal and external stakeholder
  • Sound judgement, and a strong ability to understand and solve problems
  • A master of precision and the ability to thrive in a busy changing operations environment
  • Attention to detail to ensure all specifications are met
  • Advanced Microsoft Office Computer skills
  • Ability to analyse data and report on trends
  • Previous knowledge of patient management systems is desirable
