Job Title
Executive, Administration Facilities Management
Reports To
Senior Manager, Facilities Management
Role Purpose
Responsible in planning, managing and coordinating the administrative functions of an organization which includes linking the management with its employees and vendors, involved with nearly all programs and services that relate to a company's administrative division.
Key Accountability
  • Responsible in provide continuous support and stable the administrative operation such as vendor management system for any visitor/vendor/staff to MAB complex, managing reference number, preparation of letter head for daily passes and renewal ID passes, issuance of Purchase Requisition/Purchase Order, managing payment Account Payable/Account Receivable from and to vendor by processing GRN, OTC and CTB using SAP system.
  • Develop and managing the PO trackers to ensure the payment and budgetary are updated.
  • Managing the registration of new vendor. To validate the documentation, keep intact and meet the company's regulation.
  • Managing the administrative works such as filings system, billing, payment are all intact.
  • Participate in review, validate and manage all facilities management budget & expenditure, payment, contractual obligation deliverables, workmanship and deliverables.
Qualification & Experience
  • Degree in Business Management/accountancy related discipline with 1 year experience in Facilities Management and Project Management
  • Professional certification from regulated authorization organization is an added advantage
  • Experience in managing administration works related to facilities and projects for MAB infrastructure
Skills & Knowledge
  • Strong skills in SAP system and basic knowledge in accountancy
  • Good knowledge in managing invoices, billing, purchase requisition, purchase order, account receivable, account payable with several stakeholders such as finance, group procurement, BU and vendors
  • Good knowledge in administrative, financial and budgetary in facilities management
  • Good skills in stakeholder management with BU, internal management to external vendors
Key Challenges
  • Managing all payment issuance with Finance and vendors
  • Tracking and monitoring on PO issuance
  • Managing filing system for facilities management
  • Responsible in managing SAP on processes of PR/PO, GRN, OTC, CTB, billing, invoices for stakeholders professionally
  • Assist in managing procurement process and paperwork if necessary
  • Good understanding on administrative works for facilities Management and maintenance
  • Managing other administration task as required
