Onboarding Supervisor (Volunteer Services)

About This Role
Responsibilities
- Lead a team of volunteer Onboarding Coordinators by providing training and assistance throughout regular volunteer shifts.
- Correspond with volunteer applicants on behalf of Shelter Movers through email and by phone.
- Conduct interviews with applicants by phone and assess their suitability to volunteer with Shelter Movers.
- Review all Criminal Record Checks and personal/professional reference checks and file/track date.
- Maintain up to date and accurate records on applicants in Volunteer Hub and other databases, as necessary.
- Lead a team of Volunteer Orientation Facilitators by providing initial training and ongoing support to ensure successful orientation sessions.
- Organize and ensure orientations successfully meet the established goals.
- Communicate any changes to material or processes to Orientation Facilitators prior to presenting.
- Facilitate orientations, as needed.
- Complete final onboarding steps (post-orientation follow-up), update volunteer accounts, inform applicants of any remaining steps of the onboarding process.
- Lead team meetings/ 1:1 check-ins with volunteer teams on a regular rotation.
- Provide assistance to the Volunteer Services Manager and Chapter Director with local activities, which includes and is not limited to: attending community events, recruitment fairs, volunteer socials.
Skills and Qualifications
- Strong organizational abilities to manage scheduling, orientation sessions, and maintain accurate records in databases.
- Proven ability to lead and motivate teams, fostering a collaborative environment among Onboarding Coordinators and Orientation Facilitators.
- Excellent verbal and written communication skills to effectively correspond with volunteer applicants and facilitate team meetings.
- Strong interpersonal skills likely gained through customer service and training, to provide guidance and support to team members, while building rapport with volunteers.
- Strong knowledge and comfortability navigating a virtual workspace (eg: GDrive and Zoom)
- Keen eye for detail to accurately manage applicant data, including the review of Criminal Record Checks.
- Strong time management skills to prioritize tasks and meet deadlines for various onboarding activities.
- Experience conducting interviews and assessing candidate suitability for volunteer positions is an asset.
- Ability to troubleshoot technical issues in real time to ensure that orientation, onboarding and other processes proceed quickly and efficiently.
- Experience in training or mentoring others, ensuring new facilitators are well-prepared for their roles.
- Must be comfortable with local travel and valid driver’s license is required.
- Knowledge of the Gender Based Violence sector, specifically women’s shelters, is a strong asset.
- Advanced understanding and interest in gender studies, including anti-racist, anti-oppressive frameworks and intersectionality of challenges faced by women and particularly survivors of abuse in the local community is an asset.
Role Details
- Job Type: Permanent, Part-Time, Hybrid
- Salary: $27.00 - $36.00 / hour
- Location: Vancouver, British Columbia
- Hours of Work: 25 hours per week (flexibility in work hours) with some evening and weekend availability as needed
