As a Medical Office Assistant, you’ll be the welcoming face of our clinics, ensuring patients feel at ease from the moment they arrive. Your responsibilities will include managing phone calls and emails, scheduling appointments for diagnostic imaging, and helping patients prepare for their procedures. You’ll play a key role in maintaining accurate electronic medical records and you will collaborate with our skilled technologists and radiologists to ensure seamless patient flow.

What You’ll Be Doing
  • Greet and check in patients, creating a warm and welcoming environment while registering their information and ensuring all forms (consent and screening) are scanned into the patient’s file.
  • Manage incoming phone calls, emails, faxes, and other forms of patient inquiries.
  • Schedule, reschedule, and coordinate diagnostic imaging appointments, ensuring accurate referrals and smooth patient flow.
  • Assist patients with pre-exam instructions and confirm adherence to preparation requirements.
  • Collaborate with technologists and radiologists to ensure timely procedures and accurate reporting.
  • Update and manage systems, including RIS as needed.
  • Maintain office organization, manage supplies, and perform clerical tasks such as faxing, scanning, and filing.
  • Process payments prior to exams, including those normally covered by OHIP.
  • Conduct opening and closing duties of the clinic, ensuring cleanliness and organization.
  • Review the daily schedule to match the Ultrasound Schedule and address any patient waitlist needs.
What We’re Looking For
  • Formal training in Medical Office Administration is required with one year’s experience preferred.
  • Creative problem solving to provide exceptional patient care.
  • Demonstrated proficiency using multiple software applications including Microsoft Office, and Netcare.
  • Effective communication and teamwork with multi-disciplinary team.
  • Thrives in a busy clinic environment utilizing multitasking skills.
  • Desire for continuous learning to enhance skills and experience.
  • Ability to promote and support effective communication and collaboration.
  • Dedication to maintaining high quality and integrity.
  • Strong commitment to health and safety standards.
