Exam Operations Coordinator
Are you an organized and detail-oriented professional who thrives in a collaborative environment? We’re looking for an Exam Operations Coordinator to join our team and play a pivotal role in ensuring the seamless delivery of exams across Canada.
In this role, you’ll report to the Team Leader, Exam Operations and Administration, and act as a central connection point between key partners, including content development teams, training experts, exam sites, and psychometric and data science specialists. Your responsibilities will span the entire exam lifecycle—planning, administering, and processing—ensuring that all components are executed efficiently and effectively.

What you’ll do
- Coordinate and oversee the preparation of exam materials, including configuring and testing exam sheets, templates, and related resources.
- Manage pre-exam processes, including the accurate production, packaging, and distribution of materials to exam sites.
- Provide guidance to casual employees during peak periods to ensure smooth exam production and administration.
- Support exam setup and registration processes, including system configuration and data management.
- Assess site needs and manage exam tracks to optimize delivery, ensuring capacity is aligned with demand across Canadian sites.
- Maintain clear and proactive communication with exam teams and stakeholders, providing concise updates on processes, timelines, and changes.
- Convey technical and operational information in an accessible, user-friendly way to promote alignment and collaboration.
- Collaborate with Business Technology (BT), Psychometrics and Data Scientists, and vendors to manage system and hardware maintenance, enhancements, and User Acceptance Testing (UAT).
- Program examination scoring sheets into data capture systems, conduct quality assurance (QA), and plan UAT in partnership with psychometrics and data scientists to ensure accuracy and reliability.
- Ensure standardization in exam delivery by developing and maintaining comprehensive administrative documents on exam deployment and delivery protocols
Experience
- Minimum of 1-3 years in an operational role, with experience in program coordination and systems administration.
- Proficiency in Microsoft Office (Outlook, Word, Excel, Power Point, Teams).
- Skilled in building strong working relationships and delivering results in team-oriented settings
- Survey tool management and demonstrated use of other software solutions essential.
- Experience with testing, quality assurance, troubleshooting, writing process documentation, maintaining procedure manuals, and data management within enterprise systems is an asset.
- Demonstrates advanced written and verbal communication skills, with the ability to convey complex information in a clear, approachable, and professional manner
- Strong attention to detail, critical thinking and analytical abilities
- Ability to prioritize multiple tasks and manage time effectively within a fast-paced environment.
- Works well independently and in team settings
- Strong customer service and collaboration skills
- Keen to learn new technologies and improve processes continuously
- Proactive in finding solutions and mitigating risks.
- Post-secondary education in business administration, education, or a related field
- Advanced oral and written skills in English are required, with oral and written skills in French considered an asset
