Clinic Support Coordinator (Maternity Leave Coverage)

The Central Okanagan Division of Family Practice (CODo FP) is a local non-profit society that is part of a province wide initiative designed to gives member physicians a stronger voice in improving patient health care in our community, and provides opportunities to work with partners such as the Interior Heath Authority, Ministry of Health, FPSC, and other community organizations. CODo FP is governed by local family practice physicians who identify areas to improve care of patients with its members and work with partners towards solutions and results. The CODo FP region includes Kelowna, West Kelowna, Lake Country and Peachland.
Position Summary
Reporting to the Executive Director of the Central Okanagan Division of Family Practice (CODFP) the Clinic Support Coordinator will work closely within our team to support family physicians and their office staff in their medical practices located in the communities of Lake Country, Kelowna, West Kelowna, and Peachland. The Division team works collaboratively with other partners including Interior Health, local Indigenous communities and First Nations, community agencies/organizations as well as Doctor’s of BC programs including the Practice Support Program and Pathways.
This is a varied position that will require the employee to work independently and as part of a team while operating within an environment of privacy and confidentiality. The work of the Clinic Support Coordinator includes a range of tasks including supporting recruitment of family physician and staff, assistance with practice transitions, organizing support sessions and learning events, assisting with quality improvement within clinics, maintaining data bases and completion of reports.
Responsibilities
- Maintain active relationships with Physicians and MOAs in local primary care practices with up-to-date awareness of practice needs.
- Support recruitment into primary care medical practices of family physicians, nurse practitioners on PCN contracts and medical office staff.
- Promote work opportunities, primary care medical practices and our communities
- Facilitate placement of IMG physicians, medical learners and residents into clinical practices.
- Address clinic concerns such as space, staffing, technology, and retirement through direct support or by linking with relevant partners.
- Coordinate and facilitate learning sessions and networks.
- Compile and collect information from clinics.
- Maintain internal databases and external databases including Pathways.
- Collect data and help prepare reports.
- Provide backup relief services to Division staff as required (e.g., Attachment Coordinator, Change Leads, etc.)
- Support Physician Leads supporting recruitment, Patient Medical Homes and Pathways as well as related committees and working groups.
- Participate within the team and contribute to the planning and accountability processes.
- Support a culture of diversity, equity and inclusion for all employees that respects everyone's strengths, views, expressions and experiences.
- Perform other related duties as assigned.
- At least three years of experience working in a primary care medical office.
- Knowledge of Electronic Medical Record (EMR) systems.
- Basic knowledge of information management and/or data management.
- Strong skills in MS Office and computer use in general (Excel, Word and Power Point, and Teams).
- Good verbal and written communication skills.
- Organizational skills including prioritization.
- Ability to meet deadlines and function well in a high-paced environment with changing priorities.
- Strong ability to build relationships and rapport.
- Strong interpersonal skills.
- Strong problem-solving skills.
- High level of professionalism including confidentiality, discretion, tact and diplomacy.
- Full-time, Hybrid.
- Monday – Friday during business hours 8:30am - 4:30pm.
- Ability to accommodate some evening and early morning meetings.
- Ability to travel to meetings and physician medical practices in the community.
- Valid BC Driver's license and access to a vehicle.
This position has one vacancy for a temporary assignment, covering a 12-month maternity leave.

Pay: $65,000.00-$75,000.00 per year
