Education Coordinator, Nursing Part time (Remote)

Job type: Contract (replacement for mat leave, until Jan 2026), opportunity to continue as part-time or full-time

Who We Are:
Founded in 2017, we are a pioneering education company dedicated to empowering learners by assisting them in passing their licensing examinations. Leveraging a unique methodology that integrates memory psychology with education, we have supported tens of thousands of students across various fields, including dental hygiene, veterinary tech, and more. Our operations span the US and Canada, providing exam prep, continuing education, and job placement services.
Our offerings include exam prep books, online quizzes, webinars, trivia, etc. As we expand, we are seeking an Education Coordinator to manage, scale our educational offerings. Our users say our education is “additive”! We are proud to have created a system, and a passion for helping other. Student RDH (dental hygiene) has been successful for many years.
The post is about the system brand, Clever Orca. Here, we have vet tech, practical nursing, sonography, physical therapy assisting, etc. We spent year creating a base content. We want to perfect vet tech (we are selling already). Our next target is practical nursing exam prep, NCLEX-PN, in Canada and vet tech in US.
Preference: Knowledge in the field of Nursing, or Allied health
We are a small, fast-growing team of 5-10 people, passionate about delivering value to our audience.
This is a 1-year position, to cover a mat-leave. However, potential to continue with the company.
Job Purpose
This is a hands-on role requiring an individual with strong medical content knowledge, ideally in nursing or allied health. The role involves creating, curating, and managing educational content while working across teams to coordinate.
The ideal candidate is proactive, detail-oriented, and passionate about improving education. Use of AI tools such as Chat GPT, Canva, and LMS is a MUST.
You will need an “eye” to create, and guide the development, and delivery of exam prep solutions. What does the flow should look like, which graphics are missing, which content can turn into a table, is the contributor not writing enough explanation, etc. Those questions should always be on your mind. The goal is to have the best exam prep, one that is intuitive to use, and has a lasting effect.
Preferred candidate: Medical knowledge, especially nursing
Key Responsibilities
1. Content Creation
Develop content according to guidelines. For example, create content according to the EMT exam guideline. Find the right contributors, then work with them until we have something we can produce. It requires a lot of guiding the contributors to the format that we want, keeping them accountable, and providing feedback on their work.
Content can be written materials, videos, webinars and medical images.
Sometimes, you will be directly involved in creating the content, using Chat GPT. For example, if there is a summary to do, we do not need to go back to the contributor. We can process it via artificial intelligence tools.
Especially if nursing is your field of studies, you can play a larger role in being also a contributor, and presenter.
Medical illustration can be difficult. The expectation is that you can also contribute to creating medical illustration, using Canva, using medical knowledge yourself (if you are in nursing) and with other contributors.
Utilize content created, for practical nursing, or other fields, and turned them into interactive activities such as questions, quizzes, flashcards, and study aids.
Create extra curricular, webinars, such as trivia, using Kahoot. Find presenters, work with them to create a engaging an educational hour.
Tools: MUST be proficient in Canva, PPT, word, LMS, video editing, Kahoot, Quizlet
2. Content Delivery and storage
Manage the logistics of webinars and educational events, including speaker onboarding, scheduling, and technical setup.
If the design of content is not “good enough” for our standards, you need to roll up your sleeves and make edits. Example: create tables, medical illustration (using Canva), etc.
Act as a moderator during live webinars: Welcome participants and introduce speakers. Manage slides, facilitate interactive tools like Kahoot, and troubleshoot issues. Maintain engagement and pace throughout the session.
If there is a sponsor, coordinate sponsorship logistics, ensuring deliverables (e.g., logos, mentions, content placement) are seamlessly integrated into webinars or courses.
Post, share, and store delivered content as needed. Example: upload the latest webinar on the LMS.
MUST be proficient in: Zoom (or other webinar platforms), PPT
3. Continuous Editing and Maintenance
Regularly update materials to reflect current exam guidelines (e.g., NCLEX-PN, VTNE, SPI). If there are changes in the guidelines, compared to the previous guidelines, and create a plan to tackle the deficiencies. Sometimes it is a matter of changing the titles, and swaping some contents, but sometimes it is re-creating content.
Edit existing content to improve readability, flow, and relevance. Example, or next step in dental hygiene is focusing on converting word-heavy sections into visual elements like charts or summaries. You are expected to use Chat GPT, to work with the contributors, and create the tables. This is not a simple delegation process.
Actively review and provide feedback to content contributors, make updates or revisions as needed.
Edit and polish recorded webinars, trimming unnecessary sections and enhancing presentations with transitions or slides.
Gather feedback from students, faculty, and sponsors to identify areas for improvement in content and delivery.
Implement changes such as adjusting webinar pacing, improving content visuals, or integrating new tools for better engagement. You may need to work directly with the contributors, or sometimes, we may all the changes, and update the contributors know.
Take down old content, upload new, make sure the quizzes are up-to-date, etc.
4. Book Production
Oversee updates to exam prep books (we published our own in dental hygiene and vet tech, and we produce small drug booklets) that is done yearly. Compile and organize content, convert files into PDFs, and manage the printing process using templates.
You are required to do the bulk off work. You will combine the documents, find out where we are missing tables, for example, and provide the final version. Of course, if a designer is needed, you can get the help of other professionals.
Recreation of existing books. Example: Revise a 300-page textbook in dental hygiene, we will make it a lot more visual, with images and tables. You will work with the founder, and contributors to identify where the tables should be, which written content can be transferred into the table, what images are missing, etc.
Final edit of the entire book. If for example a quick image is needed, you're responsible for finding it, or creating it.
5. Technology
Suggest new technologies or platforms (e.g., we will soon try to identify some phone quiz apps, adaptive testing software) to enhance user experience and oversee their implementation. you are responsible for doing research, talking to the software companies, finding the ones that match requirements, and potentially leading the entire process of using our own content and put it onto the new phone app platform.
Manage large-scale projects like Computer Adaptive Testing (CAT) exams. CAT exams are used in nursing. Research and onboard suitable software providers. Collaborate with content experts to create exam questions and proof materials. Ensure proper integration with the LMS and functionality across platforms.
6. Collaboration Across Teams
Report directly to the CEO, providing updates on content progress, project timelines, and major deliverables.
Collaborate with the Marketing Manager to supply content, screenshots, or videos for ads, social media, and campaigns.
Work with the School Account Manager to address school-specific content needs or academic inquiries.
Act as a key liaison between content experts and the rest of the team to ensure seamless coordination and high-quality outputs.
7. Project and Process Management
Streamline processes by documenting workflows, creating automations, and implementing checklists to improve efficiency.
We put a lot of emphasis in documentation. We have also virtual assistance who can help with simple, uploading, landing, pages, emails copies, etc. In order for our virtual assistance to help, documentation is most important. Example: Lead the migration of course content into a new LMS, ensuring all materials are correctly transferred and functional.
Attitude and Approach
A positive and proactive communicator who enjoys working with speakers, teams, sponsors, and learners.
A can do attitude. we are small company, and would like to grow. A lot of task are new to everyone in the company.
A creative mind, thinking outside of the box to make things work. For example, if a guideline has changed, how do we identify how our entire website should be changed? Instead of creating the content from scratch, we need to map out what we already have, how that matches the new guidelines. For this, you could do, for example a keyword match, from all to new guidelines, and have a general map about if we have matching content already.
Intuition for “good education.” for example, what are visuals that work for the students? What pace works in a webinar? What are the games to be played to make the webinar more interesting?
Understanding of the student journey, and the faculty journey. compassion for the learners and teachers.
Qualifications
At least eight years in teaching, education environment.
At least 3 years of working remotely.
Exceptional ability to execute projects effectively, with meticulous attention to detail and deadlines.
Innate understanding of how the mind learns.
Skilled in creating and leading others, with a hands-on approach to all tasks.
Position Details
Part-time, flexible schedule (20 hours per week).
Seasonal bonus, according to performance.
Mandatory meetings online: Mondays and Thursdays, daily standups, weekly lookbacks.
Some attendance required for select webinars for moderation purposes.
2-5 conference attendance, booth participation per year. In Canada and US.
Potential to grow into a full-time position.
Work remotely.
