BOOKKEEPER / ACCOUNTS ADMINSTRATOR
OVERVIEW
We're looking for a skilled Bookkeeper / Accounts Administrator to join our team and help us maintain accurate financial records and ensure smooth financial operations.
Job Profile: The Bookkeeper/Accounts Administrator is responsible for the data entry and account management of the company’s shows, tours, events and operations.
The role will assist the Producers, Managers and Accountants through the financial administration across our projects into 2025 and beyond. This is inclusive of payroll, account management, data entry, reporting and more.
Hours: Approximately 20 hours per week across 4x days at 5x hours per day. Mornings are ideal however potential for discussion for the right candidate.
Flexibility across working hours is essential
Location: In Office - Bundall, Gold Coast, QLD
Practicals: Minimum Australian qualification in Bookkeeping or Accounting required
Solid experience across Xero and Quickbooks
Minimum 2 years relevant experience in a similar role as a bookkeeper or accountant
An understanding of theatre, and/or performing arts and events
Salary: $42-48per hour plus superannuation
Contract: Permanent Part Time with a 3 month probationary period
Reporting to: Producers, Company Accountant

KEY RESPONSIBILITIES
General Responsibilities:
- Generate and weekly, quarterly and tour specific reports financial reports
- Review quarterly tax payments for requirements in each territory
- Set up, manage and run fortnightly payroll
- Assign bills for weekly disbursements
- Review and manage company cash flow
- Create and implement financial processes for budgeting, forecasting, payments
- Data entry and reconciliation including coding and categorising of income and expenses
- Attend and report at meetings with accountants in both Australia, New Zealand, the US & UK
- Work closely with Producers, Production, Travel and Marketing teams to ensure that budgets and actual spends are accounted for effectively
- Quarterly and Bi-Yearly BAS submissions across Australia & New Zealand
- Calculation and submission of Superannuation
- Delivery of financials across to US counterparts
- Administration of accounts email inbox
- Review weekly account transaction reports and coding
- Effectively evaluate budgets and expenses along with the management of cost benefit analysis of all tour management travel and coordination decisions
- Liaising and receipt of department ledgers for reconciliation
Skills/Abilities
- Australian qualification in Bookkeeping or Accounting
- Solid experience and/or a qualification with Xero & Quickbooks
- Proven high standards of written and oral communication
- Proven level of integrity and discretion
- Proven ability to problem solve and prioritise required tasks
- Production accounting experience in a theatrical setting looked upon very favourably
- Experience with running payroll through Xero along with pension and international payments
- Experience across currency fluctuations and international transactions inc. USD, AUD, NZD, GBP
- Experience in balancing cash flow priorities
- Experience in travel, touring or previous experience working in the US, UK as well as Australia and/or New Zealand preferred
- Experience across Google suite, or similar in Word, Excel and proficient computer skills and an understanding of how to use online systems and the ability to learn quickly
- Experience working with a wide range of personalities in a daily changing environment
- Understanding how a performing arts tour functions on a day-to-day basis.
- Demonstrated interest in performing arts events, theatre, dance.
- An interest and sensitivity of people and personalities in the arts space.
