Executive Assistant for an Energy Company (PART-TIME AND NIGHT SHIFT)

We are seeking an experienced Executive Virtual Assistant for an innovative company specializing in tailored recruitment and contracting solutions for the energy sector.
We are looking for the following specific requirements:
  • 3+ years of experience as an Executive Virtual Assistant providing end-to-end support in Back-End and Operations Processes to C-Suite or Higher Management.
  • Proven customer/client service skills across multiple platforms (e.g., Email, Chat, Phone).
  • Proficiency in managing CRMs and technical tools (e.g., MS Teams, Microsoft Suite, G Suite, Linked In, Bamboo HR).
  • Capacity to work 20+ hours per week, aligning with UK Timezone requirements.
  • Strong written and verbal communication skills in English.
  • Demonstrated ability to build and maintain remote team relationships based on trust, accountability, and integrity.
Your responsibilities will include (but are not limited to):
  • Calendar and Schedule Management: Organize and maintain the executive calendar, schedule meetings across time zones, and prepare agendas and materials as needed.
  • Email and Communication Handling: Monitor, sort, and respond to emails, draft replies, and highlight key messages for review.
  • Document Preparation: Create, format, and organize documents, presentations, and reports.
  • Research and Data Gathering: Conduct research, gather insights, and summarize findings for informed decision-making.
  • Lead Management: Manage lead searches and input data into CRM systems.
  • Task and Project Management: Track deadlines, ensure follow-ups, and provide project status updates.
  • CRM and Systems Management: Update client information, manage records, and maintain platforms like CRM D365, MS Teams, and Bamboo HR.
  • Meeting Coordination: Arrange virtual meetings, coordinate attendees, prepare agendas, and follow up on action items.
  • Daily Status Updates: Provide summaries of high-priority tasks and upcoming deadlines.
  • Expense and Invoice Management: Track expenses, manage receipts, and prepare financial reports.
  • Travel and Event Arrangements: Coordinate travel logistics and manage bookings when required.
  • General Administrative Support: Perform ad hoc tasks, including data entry and file management.
  • Collaboration and Communication: Work closely with the client to ensure timely, effective communication and delivery of exceptional back-end and administrative support.
Rate: $5.50 /hour
Schedule: Monday through Friday from 9:00 AM – 1:00 PM UK Timezone / 5:00 PM – 9:00 PM Philippine Timezone
Job Type: Part-time
Pay: Php20,000.00 - Php25,000.00 per month
Expected hours: 20 per week
